1. Policy Statement

Think Cre8tive Group CIC is committed to ensuring the health, safety, and welfare of all employees, volunteers, participants, visitors, and contractors.

We will:

  • Provide safe environments for rehearsals, performances, training, and events.
  • Identify and manage risks associated with our activities.
  • Ensure compliance with the Health and Safety at Work Act 1974, and all relevant UK regulations.
  • Promote a culture of safety, wellbeing, and accountability.

2. Scope

This policy applies to:

  • All employees, facilitators, directors, and volunteers.
  • All participants and visitors at Think Cre8tive Group CIC activities.
  • All venues and online delivery environments where activities take place.

3. Responsibilities

Board of Directors:

  • Overall accountability for health and safety.

CEO (Health & Safety Lead):

  • Ensure policy implementation and compliance.
  • Oversee risk assessments and incident reporting.
  • Ensure staff/volunteers receive adequate training.

Staff & Volunteers:

  • Take reasonable care of their own health and safety.
  • Follow health and safety instructions and training.
  • Report hazards, near misses, and incidents immediately.

Participants & Visitors:

  • Expected to follow safety guidance during sessions.
  • Report any concerns to staff or volunteers.

4. Risk Management

  • Risk assessments will be carried out for all activities and venues.
  • Control measures will be put in place to minimise risks.
  • Dynamic (on-the-spot) risk assessments will be conducted by facilitators when required.
  • Special consideration given to vulnerable participants (e.g. older adults, those with mobility needs, or health conditions).

5. Venues & Equipment

  • All venues will be checked for safe access, lighting, ventilation, and fire safety.
  • Venues must comply with fire regulations and have clear evacuation procedures.
  • Equipment (e.g. sound systems, instruments) will be checked for safe use.
  • Portable Appliance Testing (PAT) will be carried out on electrical equipment where required.

6. Emergencies & First Aid

  • Emergency exits will be clearly identified and unobstructed.
  • At least one trained First Aider will be available at sessions wherever possible.
  • First Aid kits will be accessible and maintained.
  • Incidents will be recorded in an Accident/Incident Report Form.

7. Fire Safety

  • All venues used will have appropriate fire safety measures.
  • Staff and volunteers will familiarise themselves with venue fire procedures.
  • Evacuation drills will be included in induction for regular venues.

8. Lone Working

  • Lone working will be avoided wherever possible.
  • If unavoidable, staff/volunteers must notify a colleague of location and duration of activity.

9. Manual Handling

  • Staff and volunteers must not attempt to lift or move heavy equipment without assistance.
  • Appropriate manual handling techniques should be used.

10. Infection Control (Health Protection)

  • Good hygiene practices (e.g. hand sanitiser available at sessions).
  • Compliance with NHS/local health authority guidance (e.g. during flu or COVID outbreaks).
  • Participants encouraged not to attend if unwell.

11. Training & Information

  • All staff and volunteers will receive Health & Safety induction training.
  • Refresher training provided annually.
  • Venue-specific safety briefings will be conducted where needed.

12. Monitoring & Review

  • Regular audits of risk assessments and incident reports.
  • Health & Safety Policy will be reviewed annually and after any significant incident.
