1. Policy Statement

Volunteers are a vital part of Think Cre8tive Group CIC. We value their time, skills, and energy, and are committed to ensuring that volunteering is a safe, rewarding, and meaningful experience. This policy sets out how we recruit, support, and recognise volunteers.

We believe in equal opportunities and welcome volunteers from all backgrounds, recognising the diversity and lived experience they bring.


2. Scope

This policy applies to:

  • All volunteers supporting Think Cre8tive Group CIC activities.
  • Staff and facilitators working with or supervising volunteers.

3. Principles

We are committed to ensuring that:

  • Volunteers are treated with respect and are not a substitute for paid staff.
  • Volunteering is genuinely voluntary, flexible, and based on mutual agreement.
  • Volunteers receive appropriate support, supervision, and training.
  • Health, safety, safeguarding, and wellbeing are prioritised.
  • Volunteers are recognised and appreciated for their contribution.

4. Recruitment & Induction

  • Volunteers will be recruited openly and fairly.
  • Roles will be described clearly with role descriptions.
  • Volunteers may be asked to provide references and undertake DBS checks where appropriate.
  • All volunteers will receive an induction, including training on safeguarding, health & safety, and relevant policies.

5. Support & Supervision

  • Each volunteer will have a named contact (facilitator or project coordinator).
  • Volunteers will receive regular check-ins and opportunities for feedback.
  • Supervision will ensure volunteers feel confident and supported in their role.

6. Training & Development

  • Volunteers will be offered training relevant to their role.
  • Ongoing learning opportunities (such as CPD or peer support sessions) may be made available.

7. Expenses

  • Volunteers will not be out of pocket for their contribution. Reasonable travel and other agreed expenses will be reimbursed in line with the organisation’s Expenses Policy.

8. Health & Safety and Safeguarding

  • Volunteers will be expected to follow all relevant policies, including Health & Safety, Safeguarding, and Code of Conduct.
  • Any concerns regarding safeguarding or wellbeing must be reported immediately to the designated lead.

9. Problem Solving

  • If issues arise, these will be addressed promptly and fairly.
  • Volunteers have the right to raise concerns and will be listened to.
  • Serious breaches (e.g. safeguarding, confidentiality, or conduct violations) may result in ending the volunteer placement.

10. Recognition

We recognise the valuable contribution of volunteers by:

  • Offering references where appropriate.
  • Celebrating volunteer contributions in reports, newsletters, and events.
  • Providing certificates of contribution where possible.

11. Confidentiality & Data Protection

  • Volunteers may come into contact with confidential information and are expected to maintain confidentiality at all times.
  • Volunteer records will be held in line with our Data Protection & GDPR Policy.

12. Review

This policy will be reviewed annually to ensure it remains up-to-date and supportive of volunteers and organisational needs.
